PRIVACY NOTICE

( FOR RECRUITMENT )

         Eastern Polymer Group Public Company Limited, hereinafter referred to as the “Company”, respects the privacy rights of job applicants. We are aware of the importance of personal data and the protection of personal data that must be adequately provided.  To prevent infringement of the privacy rights of the personal data subject, which is our responsibility, therefore; the Company hereby prescribes and notifies the privacy for processing personal data to the personal data owner for their acknowledgement regarding the details related to the collection, use or disclosure of personal data as follows:

1. The purpose for collecting, using or disclosing of personal information

         The Company will collect, use or disclose personal information as necessary for the Company’s employment for the following purposes:

1.1 To process requests for job applications and consider qualifications for employment by the Company’s human resource management regulations.

1.2 To use in calculating wages and remuneration, including welfare provided to employees, including the employee’s family.

1.3 For the legitimate benefits of human resource management, the study of data analysis and manpower allocation, analysis, and preparation of a work history database.

1.4 For the use in training, developing knowledge, abilities, skills and understanding of employees.

1.5 For the use in communication with employees, including family or person(s) used for reference.

1.6 For the use in compliance with the requirements of relevant laws.

1.7 To carry out any other lawful actions as set out in the policy regulations, company announcements or orders.

2. Personal Data Processing Basis

          The Company will process personal data based on lawful data processing basis as follows:

2.3 Processing based on the Company’s legitimate benefits basis

2.4 Processing based on the consent of the personal data basis

2.5 Processing on other lawful basis

3. Personal information that is collected, used or disclosed includes:

3.1 Information and documents related to the recruitment process such as Resume, Curriculum Vitae (CV), Cover Letter, and company job application including documents of job application and interview assessment comments.

3.2 Contact information for job applicants such as first name, last name, address of domicile, current address, current residence information, phone number, email, social media information and contact person(s) who are non- relative and contact persons for emergencies.

3.3 Information about the applicant’s identity such as date of birth, age, height, weight, blood type, nationality, race, religion, gender, marital status, military status, ordination history, health information, interests, opinions and other details such as referral information, information of relatives or friends who work in the Company, readiness in travelling to other provinces, etc.

3.4 Information about family members or dependents of job applicants who are eligible for welfare by the Company’s regulations and personnel management regulations such as spouse information, information about the child, information about parents, and beneficiary person. However, the applicant must notify this privacy notice for recruitment to that person for their acknowledgement.

3.5 Photographs, motion pictures, fingerprints, face image and iris data for work date and time record and for safety in the workplace.

3.6 Information about education history, activities during education, ability, potential development and other applicant qualifications such as education level, academic year, education qualification, GPA, institution/university, training history, test results, professional qualifications, the ability to use foreign languages and computers, the ability to drive a vehicle with a license document; and other talents based on references provided by the applicant.

3.7 Information about the job applicants’ past working experience including company name/address. working hours, position, details of salary and remuneration, welfare received, nature of work and the reason for leaving.

3.8 Information about job applicants characteristics such as personality, behaviour, attitude, aptitude, skill, leadership, the ability to work with others, emotional intelligence, and corporate commitment, that may be obtained through observation and analysis during the job performance or participation in activities.

3.9 Information chosen to share and disclose by job applicants through the Company’s systems, applications, tools, questionnaires, assessments, and documents.

3.10 Copies of documents that can be used to identify the applicant, such as ID cards. Passport, driver’s license, house registration, and other documents issued by government agencies.

3.11 Information about criminal records for considering of the suitability of work and to maintain the legitimate benefits of the Company or a third party, which will be performed under the consent of the owner of the personal data.

3.12 Other personal data for lawful purposes to achieve the objectives related to recruitment.

4. Storage Period

4.1 The Company will keep personal data for the period necessary to achieve the specified objective by considering the necessity of each type of data practice. After the expiration of the said period, the Company will further destroy or delete personal data by appropriate means as determined by the Company.

4.2 The Company will retain the applicants’ personal information for this job after completing the appropriate consideration by considering and contacting applicants if there are other positions that the Company deems suitable to achieve the objectives of applying for a job but not more than one year.

4.3 If the applicant has been selected to work as an employee, the Company will continue to keep the personal information of job applicants throughout the term of employment and ten years after the termination of employment to achieve employee privacy objectives.

4.4 The Company will provide an audit system for deletion or destruction of data after the expiration of the retention period or which is unrelated or beyond the necessity to collect that data.

5. Disclosure of Personal Information to Third Parties

5.1 The Company may disclose the personal information of the employee to its affiliates and third parties such as transfer considerations, background checks, testing of qualification and ability to collect and process other personal data in order to achieve the objectives of this Privacy Notice.

5.2 The Company will assign the recipient to take appropriate employee data protection measurements, process personal data as necessary, and take steps to prevent the disclosure of information or unlawfully disclosing information.

6. Rights of Job Applicants

Applicants will still have the right to personal information that the Company collected, including:

6.1 Right to be informed of the details before collecting their personal data.

6.2 Right to request a copy or transfer their personal data to a third-party data controller.

6.3 Right to object to data collection without consent.

6.4 Right to request for suspension of the use of information.

6.5 Right to request for the removal and destruction of the information that no longer required to be stored.

6.6 Right to request to keep their data up to date.

6.7 Right to withdraw consent for information collected based on consent.

6.8 Right to complain if the Company unlawfully uses their personal information.

          However, refusal to provide information or withdraw consent required for the aforementioned necessity and purposes or to perform a job application.  This may prevent the recruitment process from being fully processed. The withdrawal of consent will not affect the collection, use or disclosure of information for which consent has been given.

7. Measurement to Maintain the Security of Personal Data

          To maintain security and prevent loss, access, use, alteration, correction or disclosure of personal data without authority or wrongdoing.  The Company has provided a system for collecting personal information with an access control mechanism, security measurement is in place, and the Company will arrange regular measurement reviews to maintain physical, administrative and technical security.
